1. 1–2 — Oversharing and persistent guests

Broad groups, old links and guest accounts may expose more content than intended. Assign an expiry date, justification and owner, then review external access after every project.

2. 3 — Stale information

An outdated policy or former price may be surfaced confidently. Define the authoritative source, validity date, content owner and archive rule; clearly mark historic material that must remain.

3. 4 — Poorly classified sensitive data

Without classification, protection is inconsistent. Identify personal, financial, legal and trade-secret information, then apply proportionate sharing, retention and loss-prevention controls.

4. 5–6 — Ownerless sites and weak traceability

A workspace without an owner accumulates access and content without control. Undocumented decisions hinder investigation; require ownership, recurring review, logging and escalation.

5. 7 — Deployment without change management

Issuing licences without a pilot, training, support or stop criteria creates inconsistent use and poorly handled incidents. Define scope, rules, reporting channel, measures and the expansion decision.

  • Inventory owners, guests, broad groups and sharing links.
  • Correct critical exposure before enabling licences.
  • Pilot with representative users and documented test cases.
  • Monitor audit events, feedback, incidents and access drift.
  • Schedule recurring ownership and permission reviews.
