A website, newsletter and WhatsApp are not three versions of the same channel. Together they can form a simple system: the website preserves reliable information, the newsletter creates an editorial appointment and messaging supports rapid coordination.

1. The website as official memory

Messages disappear in conversation streams. The website should preserve mission, activities, dates, forms, reports and results. Give each event or project a stable address that other channels can reference.

2. The newsletter as an appointment

An effective newsletter is not a catalog of links. It summarizes what changed, highlights one priority action and announces what comes next. A monthly rhythm is often more sustainable than inconsistent weekly sending.

Use four blocks: opening note, result of the month, next activity and invitation to participate. Choose a specific subject and a recognizable sender.

3. WhatsApp for activation and coordination

Messaging suits reminders, last-minute changes and short exchanges. Separate official announcements from discussion groups. Define publishers, hours, moderation rules and how people can leave.

Do not place all information in an image that is difficult to read or search. Include date, location, expected action and a link to the complete page.

4. One member journey

  1. A person discovers the organization through search or social media.
  2. They read a clear website page.
  3. They register for the newsletter or an activity.
  4. They receive confirmation and optionally join a coordination channel.
  5. After the activity, they receive results and another opportunity to act.

5. Give young people a real role

UNICEF guidance on digital participation emphasizes listening, continuity and influence on decisions. Ask young people not only which formats they use, but what information they want to produce and which decisions they want to inform.

6. Protect data

Collect only necessary information. Explain its use, restrict access, obtain consent for images and establish specific safeguards for minors. Never add a phone number automatically to a public group.

7. A lightweight editorial calendar

Prepare one main website item each week. Turn it into a newsletter summary and a WhatsApp reminder. This avoids writing three times and reduces contradictions.

8. Measure mobilization

Track confirmed registrations, attendance, responses, volunteers and repeat participation. Clicks and opens support diagnosis, but real action remains the outcome.

Monthly calendar example

On the first Monday, publish the program on the website. On Wednesday, send a newsletter summarizing it and highlighting one action. Three days before each activity, send a short WhatsApp reminder. Prepare content in batches using one brief: title, audience, action, date, owner, link and approval status. This discipline reduces omissions and keeps volunteers aligned.
